Roles and What They Do

This article lists and describes:

  • The various roles a person can have in ResearchCloud. 
  • All menu options, their related functions, and the roles that can perform them.
  • A matrix of all functions under each menu option and their respective roles.   

Note

It's possible for one person to have multiple roles.

Role Description
General Roles
Program Manager Has overview functions into the Dashboard, Scheduling, Communications, and Reporting functions for their organizational level and below. Likewise, Program Managers can set the daily capacity for appointments and site availability. They can also cancel and reschedule appointments and upload prospect records. Lastly, Program Managers can edit engagement history and create new engagement records for prospects and participants.
CATI Interviewer

Has the ability to engage participants in Computer Assisted Telephone Interviews. (CATI engagements are meant for your staff, under the participant's explicit consent, to impersonate a participant session, for the purposes of completing surveys.)

The CATI Interviewer role can be assigned to any user account in addition to other roles.

Researcher Can take the raw data collected and produced by the study for further analysis beyond ResearchCloud's operational analytics. (The data can be used in corollary or related studies.) Because Researchers have access to participant provided information (PPI) and protected/personal health information (PHI), they are carefully vetted before they are granted access.
Support Staff Has access to Participant Profile pages to assist with resetting passwords, multi-factor authentication, and unlocking accounts.
Additional Customized Roles (based on org structure)
Communications and Engagement Manager Has access to the Dashboard to track participant progress through the participant-provided information (PPI) surveys. In addition, this role may edit engagement history and create new engagement records for prospects and participants, and upload prospect records.
Program Coordinator

Has overview functions into Appointments performance, as well as Reporting to download scheduling metrics for their organizational level and below. Program Coordinators may also manage daily capacity for their organizations and related sub-organizations.

Research Assistant May view Appointments calendar and edit engagement history and create new engagement records for prospects and participants.   
Site Manager Has access to Appointments and Reporting for a corresponding site. The Site Manager may also manage site availability and minimum notice for appointments and view and manage appointment scheduling.
Support Admin Has the same access as Support staff. In addition, the Support Admin role can work with User Management to administer accounts.

Dashboard Appointments Record Management Research Workbench Engagement

Description: Visualization for participant enrollment analytics, including:

  • Primary and EHR Consents Status
  • Registered Participants
  • Completed Surveys Status
  • Core PPI Completion Rates and Percentages
  • PM/B Participant Metrics

Every program will have its own set of relevant analytics and metrics. The ones listed above serve as examples.

User Admin Capacity Mgmt Hierarchy Mgmt Recruitment

Description: Lock and unlock user accounts and reset passwords and multi-factor authentication (MFA) codes.

Available to:

  • Administrator
  • Program Manager
  • Site Manager
  • Support Admin
  • System Administrator

    Note

    If the System Administrator role is available, then you will also be able to add, edit, and delete user accounts.

Research Workbench

Description: Export raw data reports for further analysis.

Function Available to:
Export generated reports of raw data automatically generated by the system.
